Schedule/Shift – 8:30am to 5pm (30 min Lunch break) Monday-Friday

Duration – possible extensions

Job Responsibilities:
• Greet and welcome guests as soon as they arrive at the office
• Direct visitors to the appropriate person and office
• Answer, screen and forward incoming phone calls
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Provide basic and accurate information in-person and via phone/email
• Receive, sort and distribute daily mail
• Maintain office security by following safety procedures and controlling access via the reception desk
• Order front office supplies and keep inventory of stock
• Update calendars and schedule meetings
• Arrange travel and accommodations
• Perform other clerical receptionist duties such as filing, photocopying and faxing
• Provide backup for the Executive Administrative Assistant
• Lead entry into Salesforce and SAP
• Quote entry into SAP/Salesforce
• Product Entry into SAP/Salesforce
• Answer front office phone calls
• Salesforce Data cleansing
• SAP Data cleansing (Account information, Contact information, Product information, Activate/Inactivate Accounts, Shipping/ Billing Address cleansing)
• SOP to enter Data

Job Requirements and Qualifications:
• High School diploma or equivalent.
• 0-2 years of reception or office representative experience.

Required Skills & Experience:
• Proficiency in Microsoft Office Suite.
• Customer service oriented.
• Hands-on experience with office equipment.
• Proven written and verbal communication skills.
• Ability to be resourceful and proactive when problem solving.
• Excellent organizational skills.
• Multitasking and time-management skills, with the ability to prioritize tasks.
