The Creative Operations Coordinator is responsible for supporting creative logistics and administrative operation for the North America Creative team. The position will report to the Sr. Manager of Creative Operations and work under the supervision of the Creative team managers and partner closely with the video production staff, photographers, designers, as well as project managers to coordinate photo and video shoots, including vendor contracting, talent casting, location scouting, prop/wardrobe sourcing, obtaining permits as needed, catering and vendor invoice processing. This position will also be the production assistant onsite for photo and video shoots, helping the leads to manage the shoot schedule, coordinate equipment and support miscellaneous requests, support the logging and ingestion of photos and videos into our cloud storage system, and assist with minor photo or video editing requests as needed. Additionally, this position will track quarterly vendor estimates and payments and provide monthly updates to the Sr. Manager of Creative Operations and the Director of Creative & Content Strategy for budget forecasting. This position will also coordinate updates to the photo and video shoot calendars, as well team trainings and activities. The ideal candidate must be highly organized, detail-oriented, collaborative and thrive in a fast-paced creative environment. Some travel may be required.

HOW YOU WOULD CONTRIBUTE: (Responsibilities and tasks associated with the job) *limit to 8-10 bullets
Coordinate vendor estimates, contracts, invoice payments, and budget tracking
Manages our stock photography/video accounts, creates/maintains a list of all our preferred vendors, as well as maintain a log of all the equipment.
Understand the Herbalife Brand Guidelines, and ensure background elements in photo/video shoots and talent wardrobe meet requirements as well as creative brief specifications
Work closely with the design and video team leads to define logistics for photo/video shoots and coordinate scheduling, catering, crew requests, talent castings, site inspections, COVID-19 testing, etc.
Travel to events and work closely with the creative leads to support video/photo needs and support/coordinate delivery of video materials between vendors and internal teams for Events
Collect and organize raw image/video footage files received from vendors
Support logging/ingestion/uploading of raw video/image files into
Sending videos for transcriptions/captions and assist in sending out for VO recordings if needed
Source/return rental equipment, props and wardrobe, and coordinate crew transportation as needed
Assist with setting up and breakdown of lightning and photo/video equipment, and ensuring all equipment is logged and accounted for at the conclusion of photo shoots
Able to support minor video editing needs (e.g. add logos, convert formats, do simple cut downs)
Participate in creative brainstorm sessions to support marketing campaigns and initiatives
Partner with creative leads to understand how to carry out the creative vision
Maintain clear communication with project managers and creative leads to ensure all projects are on track to meet deadlines
Provide creative leads with project and resource capacity reports from project management system
Coordinate team activities, training and travel as needed

SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL: (List requirements, including education and experience needed for the job) *limit 6-7 bullets

2-3 years experience as a creative coordinator, production assistant or similar role
2-3 years experience with in-house creative teams, advertising agency and/or design firm
2-3 years experience working with photography and video production teams

BS/BA in Design, Fine Arts, Film, Marketing or related field, or equivalent professional experience
