Job Responsibilities

The Administrative Assistant will provide administrative support for Headquarters Office and Executive Management.

Responsibilities include but are not limited to:
Provide administrative support for executive management, including mailing, scanning,
filing and copying time sensitive and confidential documents (contracts, legal documents,
Support executive expense reimbursement process.
Make international and domestic travel arrangements for senior management, including
booking flights, hotels, other transportation, obtaining travel documents/ visas, and
conference registrations. Create itineraries as needed.
Assist executive management with special projects as they arise. Prepare spreadsheets
and other special, recurrent or one-time reports, summaries or replies to inquiries as
instructed, selecting relevant information from a variety of sources such as reports,
documents, correspondence, etc.
Handle interviews for all Headquarters open jobs candidates - including selecting,
ranking and scheduling candidates for interviews.
Schedule and coordinate meetings, appointments and travel arrangements for executive
managers and their visitors as well as all-Headquarters events (such as Customer
Service Week, monthly Safety meetings).
Arrange offsite events such as executive retreats and training workshops. This includes
preparing presentation materials for attendees, reserving meeting locations, coordinating
room setup and AV configuration with the venue.
Serve as the main point of contact for building services - including landlord and facilities
maintenance personnel.
Create and update flowcharts for new processes and procedures
Generates presentation slides; spreadsheets; reports and word documents
Maintain Headquarters employee directories.
Successfully complete required trainings

Additional Fill-In Duties and Responsibilities:
Retrieve and distribute US Government Client mail.
Maintain office/kitchen supplies for HQ offices.
Greet and sign in Headquarters visitors.
Distribute interoffice mail and change the IT tapes.
Enter vendor purchase order invoices.
Process and post customer credit card transactions as needed.
Match receipts to incoming invoices; obtain approval for invoices when necessary.

Required Qualifications
HS diploma or equivalent
5+ years administrative experience in a corporate environment
Conference planning skills
Computer proficiency in Google and MS Office Suite 2010 (Word, Excel, PowerPoint,
