CORE DUTIES

Servesupport assigned administrative departmental functions including
Recruitment and Training
nbsp nbsp nbspo Assist with recruitment document management interview logistics and onboarding of new team members
nbsp nbspnbsp o Act as an HR interface to monitor track and report required training status and provide assurance that required personnel training is current
Webpage Development build and manage websites to serve departmental needs
Document Review and Management
nbsp nbsp nbspo Review and updates Word and Slideshow documents with a focus on spelling grammar and formatting
nbsp nbsp nbspo Maintain documents and records in accordance with policies and practices
Calendar management Interface with multiple attendees both internal and external to the lab to confirm mutually available timing Distribution and change management of meeting invitations
Logistical support for Reviews and Assessments
nbsp nbsp nbspo Documentation and tracking of action items required for the logistical support of reviews and assessments
nbsp nbsp nbspo Scheduling of reviews and review coordination meetings including dry runs planning meetings and postmortem followup meetings
nbsp nbsp nbspo Build and manage webpages required to publish review documents and information
nbsp nbsp nbspo Develop deploy and manage review agendas and calendar invitations
nbsp nbsp nbspo Interface with review committee members external to the lab to support their participation in reviews and assessments and serve as designated host for external guests This may include coordination with the IT department security and badging or other departments as well as assistance in arrangements for foodrefreshments and lodging requirements for external review participants

MINIMUM REQUIREMENTS

bull High school diploma required
bull Twoyear Associates Degree Business Systems or equivalent preferred
bull Minimum 5 years of experience as Administrative Specialist serving functions similar or equivalent to example Core Duties provided above

KNOWLEDGE SKILLS AND ABILITIES

bull Excellent computer skills PC and Mac
nbsp nbsp nbspo Proficient with the Microsoft office suite including Word PowerPoint Excel
nbsp nbsp nbspo Proficient with the Google Suite including Google Slides Google DocsGoogle Sheets and Google Sites or other similar webpage builders
nbsp nbsp nbspo Proficient with management of calendar and virtual meeting software including Google Calendar Zoom or similar
bull Strong communication written and verbal skills consistent with the academic and professional levels ofnbsp researchers as well as business sector partners
bull Strong organization skills with the ability to prioritize and perform multiple tasks
bull Strong interpersonal skills with the ability to work effectively with other groups individuals and managers throughout the Laboratory and with external partners

WORKING CONDITIONS

bull Overtime may be required occasionally
bull Work is primarily remote during Pandemic conditions but will transition to fulltime onsite as health conditions improve
